Introduction

πŸ“‹ These Terms of Use ("Terms") constitute a legal agreement between Gurukul Sanchalan ("Company", "we", "our") and you ("User", "School", "you"). By using the Gurukul Sanchalan platform, you agree to accept these Terms.

Gurukul Sanchalan is a cloud-based school management platform designed for schools in India. This platform helps manage attendance, fee collection, examination management, parent communication, and other school operations.

If you do not agree with these Terms, please stop using our services and contact our support team.

Using the platform will be considered acceptance of these Terms, whether or not you have explicitly signed them.

Service ka Permitted Use

Gurukul Sanchalan platform can only be used for school management purposes. You are allowed to do the following:

  • Manage student, staff, and parent data on the platform
  • Generate attendance, fee, exam, and report records
  • Send parent notifications (SMS/WhatsApp)
  • Provide platform access to authorized staff members
  • Export data for your institutional needs
Eligible Users: This platform is intended for schools, colleges, coaching institutes, and other educational institutions. Individual or non-educational commercial use is not permitted.

The platform must only be used under the registered institution’s name. One subscription is valid for one institution. For multi-institution usage, please contact us for the Enterprise plan.

  • Provide platform access to authorized staff members
  • Export data for your institutional needs

Payment, Billing & Refund Policy

The payment terms for Gurukul Sanchalan subscription plans are given below:

GST 18% GST is applicable on all plans. A GST invoice will be provided.
Payment Modes UPI, NEFT/RTGS, Cheque, Credit/Debit Card, Net Banking, DD (for Government schools)
Billing Cycle Annual or Monthly β€” depending on the selected plan
Auto-renewal Annual plans do not auto-renew β€” a reminder is sent 30 days in advance
Refund Policy After the 14-day trial, payments are generally non-refundable. In special cases, please contact management.
Price Changes Any changes in pricing will be notified 30 days in advance. Existing subscribers will continue at the current pricing until renewal.

Data Ownership & Privacy

Your school data β€” including students, fees, and attendance records β€” is your own property. We only store and process it to deliver our services to you.

  • Data Ownership: The school retains full ownership of its data. We never sell or share it with third parties.
  • Data Storage: All data is stored in India on Azure Cloud servers with AES-256 encryption.
  • Data Backup: Pro plan includes daily automated backups. You can export your data anytime.
  • Data Deletion: After account termination, you may request your data within 90 days. After that, it is permanently deleted.
  • Minor Data (Students): Student data is handled with extra protection and is never used for marketing purposes.

Intellectual Property Rights

The software, design, code, logos, and branding of the Gurukul Sanchalan platform are the intellectual property of the Company and are protected under copyright laws.

  • Copying, reverse-engineering, or modifying the platform code is strictly prohibited.
  • Unauthorized use of the Gurukul Sanchalan name, logo, or branding is not allowed.
  • You are free to use data generated on the platform (reports, receipts, etc.) as it belongs to you.
  • Using screenshots or platform images for commercial purposes is prohibited without written permission.

Any feedback or suggestions you provide may be used by us to improve the platform, without attribution to you.

Prohibited Actions (What You Must Not Do)

The following activities are strictly prohibited and may result in account termination:

  • Fake Data: Entering incorrect student records, fake fee entries, or any fraudulent data on the platform
  • Unauthorized Access: Attempting to hack or access another school’s account
  • Reselling: Reselling Gurukul Sanchalan subscriptions without a written agreement
  • Platform Abuse: Creating unnecessary server load or using bots or automated scripts
  • Illegal Use: Using the platform for any illegal activities
  • Data Scraping: Extracting platform data using automated tools
  • Competitor Use: Using the platform for competitive analysis or building a rival product
  • Minor Harm: Any misuse of student data will result in strict action
⚠️ Any prohibited action may lead to account suspension without notice. In serious cases, legal action may also be taken.

Service Availability & Uptime

We provide a 99.9% uptime SLA for Pro and Enterprise plans. This means planned downtime will be less than 45 minutes per month.

  • Planned Maintenance: Advance notice will be provided β€” usually scheduled between 2–4 AM at night.
  • Emergency Maintenance: Critical security updates may be applied without prior notice.
  • Offline Mode: Basic features (such as attendance) may work without internet and will sync later when connectivity is restored.
  • SLA Breach: If uptime SLA is not met, a pro-rated credit will be adjusted in the next invoice.

Limitation of Liability

We provide our services on a best-effort basis, but there are certain limitations you should be aware of:

  • Gurukul Sanchalan shall not be liable for any indirect or consequential losses, such as business impact due to data loss.
  • Our maximum liability shall not exceed the total amount paid by you for your annual subscription.
  • We are not responsible for service interruptions caused by natural disasters, government actions, or other force majeure events.
  • We are not directly responsible for failures of third-party services (such as payment gateways or SMS providers).
πŸ›‘οΈ You are encouraged to regularly export your data via Settings β†’ Export Data. While we perform daily backups, maintaining your own backup is also recommended.

Account Termination

Either party may terminate the account under the following conditions:

After termination, remaining subscription fees are generally non-refundable β€” except when termination is initiated by the Company without a valid reason. For special cases, please contact our billing team.

Governing Law & Disputes

These Terms are governed under Indian law, specifically including:

  • Information Technology Act, 2000 and its amendments
  • Indian Contract Act, 1872
  • Consumer Protection Act, 2019 (where applicable)
  • Applicable data protection provisions

Any dispute will first be attempted to be resolved through our support team. If not resolved within 30 days, the jurisdiction will lie with the courts of Lucknow, Uttar Pradesh.

Changes & Updates to Terms

We may update these Terms from time to time. For any material changes, we will:

  • Notify you via email at least 30 days in advance
  • Display a banner on the platform
  • Clearly mention the effective date

Continuing to use the platform after changes take effect will be considered acceptance of the updated Terms. If you do not agree, you may close your account before the effective date.
